Refund & Dispute Policy
Subscription Charges
All TrunkFlow AI subscription charges are billed monthly via Stripe and are non refundable except as expressly set out in this policy.
Billing Errors
If you believe a charge was made in error, notify us within 30 days of the transaction date. Email trunkflowai@gmail.com from your registered account email with your account email, transaction date, and a clear description of the issue. We will acknowledge within 2 business days and resolve within 3 business days.
Accepted Dispute Reasons
Accepted dispute reasons include: duplicate or unauthorized charges, charges for a subscription you canceled before the billing date, and service outages exceeding 48 consecutive hours (eligible for credit).
Service Performance Expectations
TrunkFlow AI does not issue refunds for dissatisfaction with feature availability, AI generated documentation quality, or platform usability. Provider clinical review of AI outputs is required per our Terms of Service. Billing disputes are not a substitute for customer support.
Card Issuer Escalation
If a dispute cannot be resolved directly, you may escalate through your card issuer under the Truth in Lending Act (Regulation Z). Please notify trunkflowai@gmail.com in advance of any escalation so we can respond promptly to issuer inquiries.
Agency and Team Billing
Agency tier subscribers are responsible for all charges for seats under their account. Individual provider cancellations do not trigger refunds for prepaid multi seat periods. Seat adjustments apply at the next billing cycle.
Solo Tier Subscriptions
Solo tier subscriptions canceled within 5 business days of initial signup with minimal usage may be eligible for a prorated refund. Contact trunkflowai@gmail.com after the 5 day window, the standard no partial refund policy applies.
No Cash Refunds for Plan Downgrades
Downgrading from Clinic or Agency tier to Solo tier is processed at the next billing date. No cash refund is issued for tier differences during the current period. Downgrading does not constitute cancellation.
